About Smart Moving

Smart Moving is a SaaS platform redefining operational excellence in the moving industry. Launched in 2018 from Dallas, Texas, they deliver a sophisticated suite of web and mobile tools that help moving companies centralize and optimize core activities like customer management, real-time fleet tracking, and workflow automation.

Available on Google Play and the App Store, their cross-platform solutions address a multi-billion-dollar market that has long been burdened by inefficient and outdated manual systems.

As their design partner since 2018, we shared a similar vision: to engineer digital interfaces that empower moving businesses to modernize their logistical workflows and scale with precision.

Our design assistance has helped Smart Moving achieve $220K in seed funding and set new standards for innovation, efficiency, and customer engagement in the moving sector.

Goal of The Design

Our mission was to create a unified, user-centric platform that helped Smart Moving’s clients bridge operational silos and dismantle their dependence on fragmented, outdated systems.

This platform had to blend intuitive usability with enterprise-grade functionality while adapting to the dynamic needs of logistics teams. We pursued three strategic objectives:

  • Unified System Architecture: Merge disjointed workflows, from lead management to scheduling, to invoicing, into a single UI to eliminate manual data transfers and reduce errors.
  • End-to-End Customer Journey: Design intuitive tools for booking, real-time updates, and feedback to strengthen client trust and retention.
  • Actionable Insights: Develop clear dashboards to translate operational data into strategic decisions for continuous improvement.

These efforts eradicated siloed workflows and created a foundation for scalable growth. Smart Moving’s clients could also see lead conversion trends, resource utilization rates, and other key metrics in real-time.

Challenges

Before Smart Moving, moving companies faced entrenched inefficiencies that stifled growth and profitability. The key hurdles were:

Disorganized Lead Management
  • Manual processes and disjointed tools led to lost leads and erratic follow-ups.
  • Without a centralized CRM, businesses couldn’t track lead origins or tailor their outreach efforts.
Lack of Real-Time Visibility
  • No live oversight meant companies could not adjust crew schedules, monitor job progress, or allocate resources dynamically.
  • This opacity delayed responses and inflated costs.
Inconsistent Customer Experience
  • Fragmented client interactions across email, calls, and paper-based systems, and communication gaps created uneven service quality.
  • Customers faced delays and unclear updates, fueling dissatisfaction.
Limited Reporting & Insights
  • Outdated software offered scant analytics, leaving businesses blind to inefficiencies or growth opportunities.

Redundant tasks and poor workflow design drove up expenses, squeezing margins in an already competitive market. Smart Moving engaged us in 2018 to bridge these gaps with a unified, cutting-edge SaaS platform.

Our Approach

Discovery & UX Research

Laying the foundation through immersive analysis and industry alignment.

We began by conducting stakeholder workshops with Smart Moving’s leadership, sales teams, and operations managers to map pain points across the logistics lifecycle.

Through contextual inquiries and job shadowing at moving companies, we documented inefficiencies in lead tracking, dispatching, and post-job reconciliation.

Competitive audits of 12+ logistics SaaS platforms revealed industry-wide gaps in mobile optimization and real-time collaboration tools.

To validate assumptions, we interviewed 30+ end-users (dispatchers, drivers, clients) and created journey maps highlighting critical friction points, such as manual data re-entry and unclear pricing workflows.

These insights informed our design principles: speed, transparency, and role-based adaptability.

Structuring complexity into intuitive, role-driven workflows.

Using card-sorting exercises with dispatchers and managers, we grouped 50+ operational tasks into three core hubs: Lead Management, Job Execution, and Analytics. For high-frequency actions like assigning crews or generating quotes, we designed shortcut-enabled dashboards with drag-and-drop functionality.

Low-fidelity wireframes focused on reducing cognitive load by consolidating 7+ legacy screens into single-pane interfaces for job creation and inventory logging.

We iterated through multiple rounds of usability testing, simplifying navigation trees and adding predictive search bars after observing users struggle with buried features.

Visual Design & Prototyping

Visual Design & Prototyping

The visual identity merged Smart Moving’s light blue branding with enterprise-grade professionalism. We introduced:

  • Data Density Hierarchy: High-contrast typography and iconography to prioritize key metrics (shipment status, ETA)
  • Motion Design: Micro-interactions like progress loaders during quote generation to reduce perceived wait times

Interactive prototypes simulated real-world scenarios, such as rerouting trucks during storms or bulk-updating client invoices. Testing revealed the need for larger touch targets in vehicle inspection checklists, leading to a big increase in field-task completion rates.

We partnered with developers to implement:

  • Real-Time Sync: WebSocket APIs for live GPS tracking and inventory updates, ensuring dispatchers and drivers share identical data.
  • Responsive Adaptation: Fluid grid layouts that adjust to truck-mounted tablets and admin desktops without sacrificing functionality.

Weekly design-dev sprints resolved technical constraints, such as optimizing map render speeds for low-bandwidth areas. Post-launch, we delivered a component library documenting numerous UI patterns for future scalability.

We wanted Smart Moving’s main interface to have role-based menus, with each menu version tailored for sales pros, dispatch workers, and crew members. The goal behind this was to cut onboarding time and accelerate task completion.

With field operations in mind, we also optimized the Android and iOS apps for offline use, GPS tracking, and biometric security.

Our final design featured some amazing, one-of-a-kind design elements, including:

  • Role-Based Interfaces: Customizable dashboards tailored to dispatchers, managers, and clients.
  • Mobile-First Workflows: Optimized touch targets and offline functionality for field use.
  • Automated Alerts: Proactive notifications for deadlines, route changes, and payment milestones.
  • Personalized Communication: A multi-channel notification engine (SMS, email, in-app) delivers context-aware updates.
  • Visual Analytics: Drag-and-drop report builders with export-ready templates.
  • White-Label Portals: Branded client hubs for bookings, documents, and feedback.

The platform’s scalable infrastructure now supports adding new modules without disrupting workflows. It has become the operational backbone for many moving companies. It also fueled Smart Moving’s $220K seed funding in 2019.
